Billing and Volunteer Accounts

Before you start

A Volunteer Account is a licence for one specific person to access a role-specific pathway. One person, one Account: Accounts are tied to the individual and cannot be passed from a departed volunteer to their replacement. Admin access for your staff is included at no extra cost and never counts against your Volunteer Accounts.

Three rules govern the billing, and they are worth knowing cold:

  • Billing starts at pathway assignment. Importing or adding people costs nothing; a Volunteer Account is used when a pathway is assigned to that person.
  • Within a term, the count only goes up. If you pass your committed tier, your committed block keeps its rate, the Accounts beyond it are billed at the next tier’s per-Account rate, and those extras are invoiced at your next renewal.
  • Coming down happens at renewal. Unassigning a pathway or deactivating a volunteer does not reduce the current term’s bill, and there are no refunds for Accounts you committed to but did not use. Right-size your tier when the term renews.

The pricing tiers, per Volunteer Account per year, with everything included (no membership fees, no add-on fees, data retention built into the price):

  • 1 to 99 Volunteer Accounts: $14.99
  • 100 to 299: $12.99
  • 300 to 599: $9.99
  • 600 to 999: $7.99
  • 1,000 to 9,999: $6.99

Your rate is set by the count you commit to, and it applies to the whole block. Because each tier is a step down, there are points where committing to the next tier’s minimum costs less than staying put: a church needing 87 Accounts pays less by committing to 100. The pricing calculator on safepathways.com does this arithmetic for you, and arrangements beyond Tier 5 (including denominational pricing) are a conversation, so reach out.

One more thing that is never on this bill: Police Checks. Canpro SOS bills your church directly for those, and Safe Pathways adds no fee.

Steps to review your billing

1. Open Settings and the Billing tab

Select Settings in the left menu, then the Billing tab.

2. Check your current plan

The Current Plan card shows your plan name and yearly price.

3. Check your renewal date

The Renewal Date card shows when your term ends. A warning badge appears inside the last 60 days, and an Expired badge if the date has passed.

4. Read your usage

The usage card shows how many Volunteer Accounts are in use against your plan’s limit, for example 84 / 99. If you are over, a badge shows by how many; those extras follow rule two above.

5. See who holds an Account

Expand the occupant list to see each person by name and email. This is the list to scan before renewal: anyone who no longer serves can be deactivated so your next term’s commitment matches reality.

What happens next

Nothing stops working when you pass your limit; Safe Pathways never locks a volunteer out mid-term over the count. The over-limit badge is your early warning that extra Accounts will be invoiced at the next renewal, at the next tier’s rate. If you are close to a tier boundary, check the calculator: committing to the next tier often costs the same or less and gives you room to grow.

Troubleshooting

The count is higher than I expected

  • Expand the occupant list and scan for volunteers who no longer serve. Deactivating them will not change this term’s bill, but it right-sizes your renewal.
  • Admin accounts never count, so the list is volunteers only.

We went over our limit mid-year

  • Carry on; nothing is blocked. The Accounts beyond your tier are billed at the next tier’s rate and invoiced at renewal.
  • Before renewal, decide whether to commit to the next tier outright; near a boundary it is often cheaper.

I can’t see the Billing tab

  • Your admin role does not include the billing permission. Ask your Account Owner.

I have a question about an invoice

  • Contact Safe Pathways support with your church name and the invoice date. Billing questions get a person, not a form.

  • Importing people costs nothing; billing starts at pathway assignment.
  • Within a term the count only ratchets up; reductions take effect the following term.
  • Tiers per Account per year: $14.99 (1-99), $12.99 (100-299), $9.99 (300-599), $7.99 (600-999), $6.99 (1,000-9,999). Everything included.
  • Accounts are non-transferrable; a replacement volunteer uses a new Account.
  • Police Checks are billed directly by Canpro SOS, never through Safe Pathways.
